Microsoft_May08_BAn interesting tech trend of the past couple of years is the increasingly diverse services offered by large companies. Take Microsoft for instance: You have email, Office, cloud storage, Xbox, Windows Phone, etc. These services are about as different as they come, but are all linked by your Microsoft Account. But having all of your eggs in one basket could pose a security threat, especially if your account has a weak password. This is why Microsoft recently introduced a two-step verification to make it harder for hackers to gain access to your Account.

Below is an overview of the two-step verification system Microsoft has recently implemented.

What is it? If you use any of Microsoft's products, you likely have a Microsoft Account. This account is what you use to access SkyDrive, Outlook, Skype, Office or even the Xbox. The whole idea of this is that you have one account for all of Microsoft's products and services.

While this is great (you only have to remember one username and password), it can be a security issue. If a hacker gets into your account, they could have access to all of your personal information. Microsoft realizes this and has recently introduced two-step verification, a new Microsoft Account feature that beefs up your account's security.

Two-step verification is a feature that will ask you additional questions when you try to log in to your Microsoft Account. For example, you may be asked to enter a PIN or phrase that is sent to your phone. If you have used your credit card at the Microsoft Store, or on an Xbox in the past year, you have likely seen this feature in action. Now, Microsoft has extended it to your account.

This new feature is not mandatory for your Microsoft Account, so you have to sign up for it. But It is a good idea to consider enabling this function on your account, especially if you have sensitive information stored online. While this won't make your account 100% hack proof, it will drastically cut down the chance of a hacker gaining access.

How to set up two-step verification Microsoft has made it really easy to enable this security measure. You can do so by:

  1. Going to https://account.live.com/proofs/Manage and logging into your Microsoft Account.
  2. Selecting your phone number and Text from the drop down menu and pressing Next on the window that opens to receive a text message with a code. If you don't see this option, you should be taken directly to they account management screen
  3. Entering the code you get on your mobile device and pressing Submit.
  4. Clicking on Security Info under Overview.
  5. Selecting Set up two-step verification followed by Next.
  6. Picking from how you would like to receive verification codes (Authenticator app, Phone, or another email account). We recommend the app, which you can download onto your mobile device.
  7. Following the instructions on the screen and entering the code that is sent your the option you selected above, and pressing Next.
Your account should now have two-step verification. The next time you log in, you will be asked to verify the login using the option your selected. For example, if you selected a text message, you will receive a text on your phone with a code.

If leveraged correctly, various social media platforms could give your company a marketing boost that few other campaign types could. But, did you know that social media could also help other business functions or departments?

Below are four non-marketing oriented uses of social media that businesses could benefit from.

Hiring LinkedIn is a social network dedicated to helping professionals and organizations connect and find jobs and new talent. Most social savvy companies will have a presence on this network and may even hire exclusively from here.

If you are looking for new employees, it wouldn't hurt to have a LinkedIn profile. To find the best talent, you need to forge and maintain connections (usually starting with people you know), and be somewhat active in groups and on message boards.

It's also important to not forget the other major networks when it comes to hiring. Tweeting a job opening on Twitter, or posting ads on Facebook could also help you find your next employee. Facebook can be particularly useful because you can pay to target ads (in this case, job openings) at specific demographics.

Internal communications Communication is an important part of business, and most people choose to communicate using email. You have probably seen emails with jokes, invitations to after work events, lunch orders, etc. sent to the whole company and also received the many replies that go with it. This can get very annoying, and also confusing.

Why not utilize social media for non-essential (aka. not related to work) communication. Set up a Facebook group where your employees can share content, invitations to lunch or after work gatherings, interesting stories, etc. That way you can limit email to more important, business-related aspects.

Using social media for internal communication is also beneficial for companies with younger workers. Most already see Facebook, Twitter, etc. as their main form of communication, some even feel more comfortable communicating over this medium as opposed to speaking out in meetings. Having a group portal or Facebook page could give less-empowered employees a way to voice their ideas, and maybe even improve on them with feedback from others.

Learning A common complaint of many business owners is that they have a tough time staying on top of ever-changing trends and what currently interests their customers. Using social media to connect with your customers can be a great way to learn not only hot trends but also about new ideas.

Customer service When it comes to social media, users will often complain publicly on their wall or through their tweets. This is bad for you, as the reach of this complaint can go a long way and make you look bad. Some companies have decided to confront this head on by having specific customer service accounts. If a customer complains, has an issue, or even compliments you, be active and respond using that account.

If done properly, over time, you will see more and more people reaching out to your customer service account through social media. This also gives you another way to please clients or turn around negative customer experiences.

Office365_May07_BOne of the most important computer programs, aside from the operating system, is the productivity suite, or more specifically: Microsoft Office or Office 365. Of the Office programs, Word is likely the most popular. While it is useful, it's not perfect, especially when formatting documents. Have you ever struggled to get a numbered list to start over, or continue from a previous list?

Below is an overview of how you can set up ordered lists to either continue numbered lists from where you last left off, or start at #1 with new lists.

Set up numbering for all future lists

  1. Open a new Word document.
  2. Go to the Home tab (Press Home at the top of the window)
  3. Press the downward-facing arrow beside the numbered list button in the Paragraph group. (it's located on the right of the bullet point button)
  4. Select Set Numbered Value... from the drop-down menu.
  5. Click the numbering option you want from the pop-up window.
  6. Press Ok.
When setting numbered values, you have three options to choose from:
  • Start new list - If you select this option, new lists will automatically start at one.
  • Continue from previous list - Selecting this option will continue numbering from previous lists in the same document. For example: If you have a paragraph and then a numbered list with three points, and type another paragraph then enter a new list, the list will start from four.
  • Set value to: - Lets you set what number lists will start at.
Change the number value of individual lists If you have a document with numbered lists already in it, and want to change the number values of one list, you can do so by right-clicking on the first number of a list and selecting either Restart at 1 or Continue numbering.

Note that if you have a document with a continuous list that is separated by paragraphs and choose to reset one list to start at one, all subsequent lists will be changed to reflect the new ordering.

Facebook_April30_BSocial media is here to stay, as it's hard not to hear people talk about it these days. It really has become an integral part of our daily lives, and of business as well. You can bet that if a potential customer is looking at your company, they will check for a social media presence. The first platform they will look at is Facebook. If your company has a Facebook page, do you know how to get the most out of it?

Here are five tips that you can use to help you get more out of your Facebook page.

1. Don't be a zombie Facebook, and all social media for that matter, is more like a talk show than the Walking Dead (a TV show about survival in a zombie apocalypse). You can't simply set up a profile with basic information and let it 'wander around mindlessly'. A zombie account that has no interaction, posts, updated information etc, will likely be avoided.

The key to a good Facebook presence is that you are active. This means sharing, posting, commenting, liking, etc. Having an active page will go a long way in cementing your brand. Like a good talk show, if users can interact they will likely stay interested and willing to learn more. This will positively affect your brand.

Beyond being active, you need to come across as human. Actions like signing your posts with your name, making an odd mistake (yes, we know, mistakes? But you are human, you make them), interacting with people, etc., will do you good. A great way to come across as human on your business's profile is to reply to all comments, even the bad ones.

2. Eat your Wheaties A healthy body is a regular body; a healthy Facebook page is similar to this: Content is posted on a regular basis. The frequency of your posts will tend to vary depending on which expert you talk to. However, most will agree that fewer than two posts a week will not engage your followers. Many recommend that small businesses post between five and seven times a week - once a day basically.

3. Be a boastful Bob Many of us grew up being told not to brag. When it comes to social media, bragging is not only ok, it's a part of life. If something great happens in/to the company, by all means brag about it. Just be careful, it's still not professional to constantly brag.

A good example of when to brag is when your business is featured in a trusted source (news, blog, radio, etc) or receives an award. Sharing this news makes your business not only look more credible, but more professional; a real expert in your field.

4. Share and share a lot Businesses often struggle to come up with unique content on a regular basis. If this sounds like your company, don't worry. The first thing you have to realize about Facebook is that almost nothing is original. Peruse any profile and you will see that people share a lot of content, most of which isn't theirs.

For businesses, it's perfectly acceptable to share content that isn't yours. If you come across a great article that's relevant to your company and you think your followers will enjoy, go ahead and share it. Have you found a funny comic, picture, video, site, etc.? Share it.

There is no limit on what you can share, as long as you attribute it. Writing a post like: 'Check out this great article on customer service from this company [use the name].' is fine. That being said, you should have some original content. A successful strategy may be to have one post out of five being content you have created, three to four shared content and one company news.

5. Highlight and pin what's important to your company If you have some important information or news that you want your followers to see, you can highlight them on your page. This will expand the post, so that it takes up the whole width of the Timeline, making it easier to see. Combine this with a bigger image, and the news will really stand out.

To highlight a post/status, hover over the top-right of the post (after you have posted it to your timeline) and look for the star beside the pencil. Press it, and the post will be highlighted.

If you want a post to stay at the top of your Timeline, you can pin it there for one week. This is done by hovering over the top-right of the post and pressing the pencil icon. From the dropdown menu, select Pin to top.

Office365_April24_BPresentations are an integral part of almost any role in business. While the information conveyed in these presentations varies, every presentation follows a general structure. This structure, or outline, can be time consuming to layout in Microsoft's PowerPoint. Did you know that there's an easier way to create these outlines using Microsoft Word?

Here's how to use Word to create a PowerPoint presentation.

How does this work?

The idea here is to use Word to establish the outline and basic text of a PowerPoint presentation. This outline can then be opened in PowerPoint and converted into slides. The way the program does this is through the use of heading styles in Word. Assigning a different heading style (we'll explain how below) will create the outline of your presentation. For example, Heading 1 will be the title of each slide, while Heading 2 becomes the text.

There are two ways you can create an outline. Here's both:

Using Outline view

  1. Open a new Word document.
  2. Click on View in the menu bar and select Outline.
  3. Type your outline - enter the title of each slide, hit Enter to create a new entry. You can also enter the text in the slide under each title.
  4. Select each line and hit either Promote or Demote (they look like the indent text buttons, and are located in the Outline menu bar).
  5. Click on File and Save As when you have finished the outline.
  6. Name the file and under the Format section select Rich Text Format (.rtf). You can also just save the document as a normal Word File, but saving as a .rtf file will ensure that PowerPoint can read the outline properly.

Using Heading styles

  1. Open a new Word document.
  2. Enter your outline. The best way to do this is to enter the slide title, hit enter and insert the body/bullet points. Don't leave empty spaces as these may be read as empty slides.
  3. Highlight the first title and look at the main ribbon for the Styles section. Press the down arrow beside the box that says body and select Heading 1.
  4. Highlight the related body text (if any) and press Heading 2. This should be just below the Heading 1 option above.
  5. Repeat for the rest of the slides.
  6. Click on File and Save As when you have finished the outline.
  7. Name the file and under the Format section select Rich Text Format (.rtf). You can also just save the document as a normal Word File, but saving as a .rtf file will ensure that PowerPoint can read the outline properly.

Creating the presentation

When you are ready to create the presentation you can:

  1. Open a new PowerPoint presentation.
  2. Create the title slide and in the navigation bar (left side of the window), click on it.
  3. Click on the gray arrow beside New Slide which is located in the Home bar, under the Slides section.
  4. Select Insert Slides from Outline.
  5. Locate the outline file you saved and double click on it.

The slides should automatically be created below the title slide. If you didn't apply any formatting to the text, it will likely show up in a slide on the left-hand side with no spacing. You will have to go in and edit it.

By creating an outline in Word first, you can cut down the time needed to format and edit slides in PowerPoint. Of course you will have to edit the slides and add color, themes, images, etc. But, this should help you create more professional presentations.

SocialMedia_April09_BOne of the most important tools of a modern marketing plan is social media. With the various platforms leveraged correctly, social media could be the best way to expand your brand and gain vital exposure. Pinterest, the newest major social network which all about sharing images, has recently had its layout overhauled and new features introduced. Businesses can really benefit from these enhancements.

Here's a brief overview of the new features introduced with Pinterest's recent layout changes.

How to get the new layout

Before you can use these features, it would be a good idea to upgrade to the new layout. While, like other social media services, this will be happening automatically over time. Unlike other platforms, the new layout is available for all users to switch to when they feel ready, however when you switch to the new layout, you will not be able to go back to the old one. Here's how you can switch:

  1. Log in to Pinterest.
  2. Hover your mouse over your profile/business name at the top-right of your profile.
  3. Click Switch to the New Look.
  4. Select Get it Now. Note: If you press this, you likely won't be able to switch back to the old layout.
  5. Press Okay from the Welcome to your new look! pop-up window.

When the new layout loads, you'll notice that the pins are bigger, the category button has been moved to the left side of the profile beside the Search bar. You'll also notice that the comment button has been moved from the pins, you can access it by clicking on the image. On top of cosmetic changes, two useful functions that businesses will find beneficial.

Discovery

Now, when you look at an individual pin (click on the image), you will notice a number of changes.

  • You can see all pins on the same board.
  • You'll also see pins from the same website. For example if you pin something from a restaurant, you'll now see similar pins from the same website.
  • Most importantly, you'll now be able to see what other people have pinned along with the same image.

This will make it easier for users to discover what other people are pinning. For your business this means potentially higher exposure. Think of this as something similar to the way Facebook works: If a person likes you, the chances of this like showing on their friend's profile, and that friend visiting your Page is higher. It's kind of like easy brand exposure.

Analytics

Arguably the most useful feature added recently is Pinterest Analytics, which allows you to see if your pins are being clicked on or shared, and the general success of your activities. This will go a long way in helping you determine the overall success of your Pinterest oriented efforts.

The main caveat with this is that your profile/business's website needs to be verified and connected with your profile. If you have an unofficial Pinterest account, you can change it to a business one by:

  1. Logging into your Pinterest account and going to business.pinterest.com.
  2. Pressing Convert your existing account and choose your type of business.
  3. Entering the relevant account information like the name of your business, address and website.
  4. Agreeing to the new Terms of Service.

If you would like to have a new username or account simply go to http://business.pinterest.com/ and press Join as a Business. You will be asked to set your account information, username, etc. You will need to verify your account which will involve you having to download a file and upload it to the server that hosts your website. We, or your web hoster can help you with that.

After your account is verified, you will notice that if you hover your mouse over your account name a drop-down list should pop up with Analytics being about half way down. Click on that to be taken to the section.

This section will display a bunch of graphs including:

  • The number of daily pins and pinners on your site.
  • The number of re-pins you have done.
  • How many times your content has been repinned.
  • The number of clicks and website visits.
  • The most clicked and repinned pins.
  • The number of times your pins have been seen.

Overall, Analytics is a useful tool that will give you a clear picture of what is working and what isn't. If you pinned a picture of a dog and noticed that it got zero pins while another got hundreds, it may be a good idea to create/look for more similar content.

Office365_April09_BExcel is a common business tool that is used in an uncountable number of ways. Some spreadsheets are short, maybe one or two columns and 20 rows. Others can consist hundreds if not thousands of cells. When they get this big, it can be tough to quickly summarize or compare data. That's where the pivot table comes in, unfortunately it isn't perfect and may require a few modifications.

Here's four ways you can modify Excel 2013 for Office 365's pivot tables to meet your needs.

Make your tables look good

When you first create a new pivot table you may notice that the numbers aren't formatted properly, or the table didn't pull the format from the base spreadsheet. They may have too many decimal places, or are lacking currency figures. You can make edit this by:

  1. Selecting any of the numbers in the Value field.
  2. Clicking on the Analyze tab from the tabs above the table.
  3. Pressing on Field Settings in the Active Field group.

This will open the Field Settings panel and allow you to edit the whole Value field, which means that if you change numbers, location, etc, the formatting will stick. Pressing Number Format will bring up the Format Cell window where you can apply numbers, currencies, decimal places, etc. Pressing Ok will apply the formatting you have selected to the whole field.

You can also apply color schemes or styles by pressing the Design tab and selecting the theme that looks good to you. This will not usually change the layout, just the color and style.

Change the name of the table and fields

If you are going to be sending the table to clients or colleagues, you may want to change the name of the table and fields to something a little more user-friendly. You can change the names by:

  1. Clicking on the cell/name you would like to change.
  2. Pressing on the Analyze tab.
  3. Looking at the Active Field area of the Analyze tab and double clicking on the cell's name. You can also click on the box beside Pivot Table Name if you want to change the table's name.
  4. Entering a new name.

Add gridlines for easier viewing

If you need to separate the information in the cell, the easiest thing to do is to add gridlines. This can be done by:

  1. Clicking on a cell in the table
  2. Selecting the Design tab and choosing any style aside from the first one.
  3. Looking at the PivotTable Style Gallery and ticking the box that says Banded Rows.

Change blanks to 0s

There may be an issue where the data that's used to create the table leave blank spaces when they should be 0s. This isn't a big deal, but it would be a good idea to ensure that, for consistency, blank cells are represented as a 0, especially if other related cells are numbers. You can force Excel to fill blank cells with a 0 by:

  1. Right clicking on the table.
  2. Selecting Options followed by Layout & Format in the pop-up window.
  3. Entering 0 beside the box that says For empty cells show
  4. Pressing Ok.

Excel and the pivot table bring some excellent functionality to the spreadsheet, and having a properly formatted pivot table could go a long way in ensuring the information shown is easier to read. Facebook_April02_BCommunication is an important part of business, and one of the more popular communication mediums is Facebook. It's hard to find a business that doesn't use the platform. If you have been using Facebook since its launch you will know that there are occasional changes that sometimes make it better, others worse. The company has recently announced changes to the layout of your News Feed - are they any good?

Here's an overview of the new changes introduced in Facebook's News Feed overhaul.

Bigger, more engaging content The biggest, most obvious change is that the new News Feed is wider. That's because the menu bar that traditionally has taken up the left-hand side of the window has been more or less removed. It's now a hovering bar that can collapse to the left-side of the screen. If you've seen the recent Android and iPad/iPhone layout, where you can press a button to see your friends menu, it's similar to that.

Because of the new layout, the content shown on the feed is now larger. This means larger images, news stories, events and maps. To better take advantage of this, it is recommended that any images you upload to your profile be around 600X600 pixels - no smaller than 200X200 pixels.

There is another change that could pose useful: When a friend or local business appears on a user's wall, they will see the entire Timeline badge and location if they have allowed it.

New feeds To get the most out the new layout, Facebook has also introduced a number of new News Feeds to explore. Before we get into the new feeds, it would pay to talk about how Facebook has become smarter. Over time, as you comment on posts or share items, Facebook will start to show recommendations based on your past activity. For example if you are sharing news about cloud storage, you will begin to see suggestions around other cloud storage posts, articles or programs that could interest you.

This new layout comes with a few different feeds that can help filter the content you see. The announced feeds are:

  • Music - Shows you posts related to the music you listen to. This likely won't be the most useful for the majority of companies out there.
  • Photos - Displays only photos that have been uploaded by friends or pages you like. This could be important, especially if you have a visual based profile e.g., restaurants. Because of this new feed, it would be a good idea to ensure you are sharing high-quality images.
  • Following - The latest news and information from Pages that you have liked. This feed could be quite interesting to companies, as it only shows Facebook Pages. What this means for most Page owners is that they had better be sharing good content, as they just became more visible.
  • All Friends - Shows the traditional News Feed namely everything your friends and Pages you have liked are sharing and commenting on.
  • Close Friends - This is a bit of a dangerous view for companies, as it will only show information posted by their friends. All business and ad-related content is not shown.
The same views across all platforms Finally, Facebook has noted that with this new layout, the News Feed will be the same across all devices. No more looking at a completely different News Feed on your phone or tablet. This is a good move, and should increase your company's exposure over time.

If you access Facebook on your mobile phone - Android or iPhone/iPad - you have likely seen the new changes, as the apps were updated in mid March and included the new mobile version of the News Feed. The company started rolling out the new layout on March 7 and has noted that the change will take place over a couple of months. Some lucky users may even have it now.

Virtualization_March27_BWith technology advancing at such a rapid pace, it is hard for small and medium businesses to keep up with the new software and computers. One tech trend that has enabled users to get more out of their existing hardware is virtualization. A cool thing about virtualization is that it enables users to access their desktops from nearly anywhere, including their mobile devices. VMware has recently introduced a new feature that makes mobile access of a Windows desktop even better.

In mid-March, VMware announced Unity Touch, an app that allows users to view, open, run and manage Windows files and applications on their Android and iOS devices.

What exactly is Unity Touch This app takes your existing Windows desktop and makes it more manageable and easier to use on mobile devices. This feature is part of the Horizon View offering from VMware which allows administrators to virtualize the desktop environment, and users to access their desktop from anywhere.

Unity Touch takes Horizon View desktops and makes them easier to use on a touchscreen device. When it's introduced, you will be able to log in to your desktop and access your files and applications.

How does Unity Touch improve desktop access on mobile devices? One of the most important parts of the Windows environment is the Start menu. It's what the majority of users use to access their files and run applications. On mobile devices that connect to a virtual desktop, space is limited, so having a full start menu just doesn't cut it. This app essentially makes the Start menu an 'app drawer' on the left-hand side of your screen - think of any screen where you can select apps on your mobile device.

There's a little tab, located in the middle part of the left-hand side of the screen that you can press to bring up a list of files and apps that you can scroll through. This list also functions as a kind of launch center where you can switch between open programs, close them or even manage files.

Will my business find it useful? If you travel lots, or have to be away from your computer and don't want to carry a laptop with you, this could be a solution for you. You do need to have a VMware Horizon View Desktop version 5.2, the Horizon View Client 2.0 installed on your mobile device, as well as an Android, iPad or iPhone.

Office365_March26_BPause for a minute and take a look at your email inbox. How many emails do you have? How many would you say you've responded to today? Most business owners would answer well over 100, many of which will never be read. There is a chance that one of those may be important, or require an action from you. Wouldn't it be nice to have reminders from the sender, or something that indicates the email is important? If you use Office 365 and Outlook, there is a way to ensure important emails are seen and read.

Here's three features of Outlook that can help you ensure your important emails are seen by recipients:

Add a receipt

Outlook allows for two different kinds of receipt - Delivery and Read Receipts - which you can attach to emails you send. Attaching a Delivery Receipt will send you a message when the email has been delivered to the recipient's inbox. A Read Receipt sends you a message when the recipient has opened the email. The way this receipt works is when the recipient opens the message, they have to agree for the message to be sent. They also have the option to opt out, which means you won't get a notification.

You can attach a receipt to your emails by:

  1. Clicking Options in the open message.
  2. Selecting Request a Read Receipt or Request a Delivery Receipt from the Tracking group.

To view the receipt, you will have to click on the Sent folder, and find and open the message. From there, select the Message Tab, look at the Show group and click on Tracking.

Add a Flag

If you have emails that require an action, or would like to grab the attention of the recipient, you can assign a flag. Flags put a colorful flag on the info bar and generally provide information about when you expect a follow up. You can put a flag on messages by:

  1. Clicking on the Message tab when writing a new message.
  2. Looking at the Tabs group and selecting Follow Up.
  3. Selecting the relevant flag.

You can also create a custom flag by clicking on Custom.

Add a Reminder

If you feel that a reminder is necessary - the recipient will get a message on their screen - you can set it up by:

  1. Clicking on the Message tab when writing a new message.
  2. Looking at the Tabs group and selecting Follow Up.
  3. Selecting Add Reminder and ticking the box that says Flag for Recipients.

You can press Flag to: to get a drop-down list of different flag options like Follow up, Schedule meeting, etc. You can also set the time and date you want the reminder to be shown on the recipient's screen. If you press Flag for Me, you will be able to set reminders for yourself.

Be careful with this feature however, as some people may not appreciate reminder messages popping up on their screen. It would be a good idea to ask them if it's ok before you send it.
